How Canberra Hypnotherapy Clinic collects, stores and protects your personal information — in plain English.
Last updated: October 2026
Canberra Hypnotherapy Clinic (“we”, “us”) is run by Spiro Apostolopoulos and Stella Jones at 42 Geils Court, Deakin ACT 2600. We are bound by the Australian Privacy Principles under the Privacy Act 1988 (Cth) and, because we hold health information, by the Health Records (Privacy and Access) Act 1997 (ACT).
This policy explains what we collect, why, where it goes, how long we keep it, and what you can ask us to do with it. If anything here is unclear, please ask — we would rather explain it than have you guess.
When you get in touch. Your name, email address, phone number, and whatever you choose to tell us about what you would like help with. This comes to us through the intake form, the contact form, a phone call, a text message or an email.
When you become a client. A health history relevant to the work we do together, your goals, and notes made during and after sessions. This is health information, which the law treats as sensitive and protects more strictly than ordinary personal information.
When you visit this website. Standard technical information that almost every website receives — your IP address, browser type and the pages you looked at — used only to keep the site working and secure.
You can deal with us anonymously or under a pseudonym if you prefer, for example when asking a general question. We will tell you if that makes something impractical.
We collect personal information so we can respond to your enquiry, arrange appointments, provide hypnotherapy and related services, keep accurate records of the work we do with you, and meet our legal and insurance obligations.
Health information is only collected with your consent. Filling in the intake form, or telling us about your situation on a call or in a session, is how that consent is given. You can withdraw it at any time, though that may limit what we are able to do for you.
We do not use your information for marketing unless you have asked us to, and we never sell it to anyone.
What you tell us stays between you and your therapist. We do not discuss your care with your family, your employer or your doctor without your consent.
There are narrow exceptions, which apply to every practitioner:
We also use ordinary business services that handle information on our behalf — website hosting, email, and the services described in the next section. They act on our instructions and are not permitted to use your information for their own purposes.
We should be upfront that some of the everyday tools behind this website are operated outside Australia, mostly in the United States.
Website forms. When you submit the intake form or the contact form, your answers are stored in this website’s own database and emailed to us. They are also passed through a spam-checking service operated by Automattic, which receives your IP address, browser details, name, email address and message. You are also welcome to call or text us on 0421 206 918.
Google reviews. Our review display loads content from Google and Trustindex. Reviews you leave on Google are public and governed by Google’s own privacy policy, not ours.
Video. The welcome video on our home page is hosted by Vimeo, which may set cookies when it loads.
We take reasonable steps to ensure these providers handle your information consistently with the Australian Privacy Principles, but once information is held overseas it is also subject to the laws of that country.
Client records are kept securely, with access limited to Spiro and Stella. Paper records are kept locked; electronic records are password protected.
ACT law sets how long health records must be kept. For an adult, we must keep your record for seven years from the last time you received a service from us. Where the client was under 18 when the information was collected, the record must be kept until they turn 25.
Enquiries that do not lead to an appointment are kept only as long as we need them to respond to you, and are then deleted. Once a record is no longer required, we destroy it securely.
You can ask to see the personal and health information we hold about you, and to have anything inaccurate corrected. Just ask — by phone, text, email or through our contact page.
We will respond within 30 days. In most cases we will simply give you what we hold. There are limited situations where the law allows us to withhold some of it, for example where releasing it would pose a serious threat to someone’s life or health, or would unreasonably affect another person’s privacy. If that happens we will explain why in writing, and tell you what you can do about it.
If you think we have mishandled your information, please tell us first. Contact us on 0421 206 918 or through our contact page and we will look into it and respond within 30 days.
If you are not satisfied with how we have handled it, you can take the matter further:
We update this policy from time to time as our practice or the law changes. The date at the top shows when it was last revised, and the current version always lives on this page.
Ask us. We would rather explain how your information is handled than have you wonder about it.
